Job Description:

*Administrative Assistant/Communicator Job Description*

*Summary: *

Responsible for reception area and support of administrative department.

*Primary responsibilities*:

* Answer incoming calls via 9-line phone system and assist customers
* Become familiar with the promotional products industry and continuously expand on product knowledge to assist customers
* Oversee reception area, greet customers and office visitors
* Assist Administrative department with workflow/projects
* Sort postal mail, Scan documents, send emails and faxes
* Filing
* Data entry, Order entry, Purchasing cross-training
* Assist President with projects and errands as needed
* Produce reports on Excel and Word, presentations, and briefs
* Other duties as assigned

*Requirements: *

* Proficient in Microsoft Office, Word, Excel, and Outlook
* Ability to multi-task, work in a fast-paced environment, and meet deadlines
* Outstanding organizational and time management skills
* Maintain a high level of confidentiality
* Current or recent related work experience
* High school diploma or equivalent

*Schedule: *

* Hourly, Full-Time, Non-Exempt
* Schedule- Monday through Friday 9am-5pm

Upon completion of training, the Communicator role will often transition to the Customer Service or Quoting role

Summary:

Serve as Liaison between the customer and various internal departments. Establish and maintain relationships with customers on behalf of the company by taking responsibility for each customer contact and by ensuring that all customer requirements are met.

Primary Responsibilities:

* Ensure customer needs are met, via timely communication, follow through and follow up
* Quote and enter customer information
* Respond to customer requests and questions
* Determine and resolve customer complaints
* Overseeing orders from inception through completion as needed
* Maintain working knowledge of products to ensure customers are given accurate recommendations
* Collaborate with management and internal departments to meet customer service standards
* Answer phones
* Other tasks and duties as assigned

Requirements:

Proficient in Microsoft Office, Word, Excel and Outlook

*Summary: *

Serve as Liaison between the customer and various internal departments. Support Customer Service relationships with customers on behalf of the company by taking responsibility for each customer contact and by ensuring that all customer requirements are completely met. Typically handles transactions between $400 and $10,000 focusing on traditional form quotes that require proofing, organization, and multi-tasking.

*Primary responsibilities: * - Ensure customer needs are met. - Enter quotes and distributor information into company computer system. - Respond to customer questions and requests. - Determine customer requirements and expectations to recommend and quote specific products and solutions. - Communicate with suppliers to acquire pricing. - Understanding and comprehension of quoting procedures and calculations. - Assist in maintaining quoting documents for up-to-date information.

- Maintain working knowledge of products to ensure customers are given accurate recommendations.

- Collaborate with management and internal departments to meet customer service standards.
- Backup for phones. - Other duties as assigned.

*Requirements: * - Current or recent work experience. - Excellent attention to detail and high degree of accuracy. - Mathematically inclined. - Ability to work in a fast-paced environment. - Ability to multi-task and meet deadlines. - Proficient in Microsoft Office, Word, Excel, and Outlook. - Ability to work in a team environment. - Ability to adapt to shifting priorities based on customer needs and department workflow.
