JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Division of Development and Alumni Relations is seeking a candidate for an Administrative Support Assistant. This position will serve as the lead administrative support assistant to the Office of Volunteer Programs in the Division of University Development, supporting the director and assistant/associate director.

The primary duties include, but are not limited to:

  • Acting as first point of contact with excellent customer service for volunteers, donors, alumni and staff

  • Maintaining calendars and arranging meetings, preparing meeting materials, and taking meeting minutes

  • Drafting, typing and editing correspondence and other documents

  • Initiating and processing various financial forms

  • Maintaining and updating volunteer engagement website, women's philanthropy website, and any future virtual platforms

  • Ordering office and other supplies and running errands

  • Coordinating travel logistics, hotel rooms and home ticket requests

  • Representing the office at meetings and on projects, as appropriate

Experience with Microsoft Office 365, Employee Reimbursement System, SIMBA, Advanced Web Application, Workfront and computer programming preferred. The successful candidate must be a detail driven professional who is self-motivated, team-oriented and has excellent interpersonal and organizational skills with the ability to manage multiple competing priorities. The candidate must possess exceptional critical thinking, oral and written communication skills and have excellent computer, keyboarding, and editing skills. Consistent high quality and timely work is crucial. Experience with exercising discretion and excellent independent judgment while managing confidential information is critical. Must be willing to foster a welcoming and inclusive environment for diverse members of the public as well as students, staff, and colleagues within the University.

Typically requires a High School diploma plus 2 years related experience, or an equivalent combination of education and experience.
