The College of Information Science and Technology (IST) invites applications for an Executive Assistant. The Executive Assistant works collaboratively with senior leaders, faculty, staff and students to support the Dean in carrying out the mission of the college. This role also has direct oversight of the administrative staff for the Dean's Office, Marketing and Communications and Events.

This position and the work includes handling confidential information and material, independent thinking, good judgment, and discretion. Specific responsibilities include, but are not limited to, the following:

  • Manage the Dean's calendar, coordinate meetings, create agendas and distribute notes and other correspondence.

  • Coordinate travel and reimbursement for the Dean.

  • Supervise, train and develop administrative staff ensuring support for Associate and Assistant Deans and faculty.

  • Oversee Promotion and Tenure process serving as Dean's Office liaison with college-level process.

  • Organize faculty orientation ensuring faculty have the needed information and support to acclimate and be productive as they join the college.

  • Provide project management.

  • Act as a liaison with internal and external constituents.

  • Complete annual AC80 reports.

  • Coordinate Parents and Families Weekend.

  • Oversight of Faculty and Staff Awards/Employee Recognition Program.

  • Update and maintain faculty and staff handbook and college administrative policies and guidelines.

  • Act as budget executive in Workday/oversight within SIMBA and P-Card approver.

  • Oversee Marketing and Communications and Events offices.

  • Coordinate strategic plan process for the college.

This position typically requires bachelor's degree and 3 years related experience or an equivalent combination of education and experience.

This requires an individual who will represent the college professionally, can exercise discretion, and is comfortable interacting with high-level internal and external stakeholders, including business leaders, donors, members of the media, and government and elected officials.

The successful candidate will thrive in a fast-paced environment, is proactive and takes initiative, is adaptable and responsive, undertakes projects with little direction, thinks analytically, is goal-oriented, is a successful mentor. The candidate is self-directed, easily handles complexity, is organized, possesses excellent verbal and written communication skills, is fluent with office technology and computer programs, has a customer service focus and will respond with flexibility to a wide variety of multiple and shifting priorities, and is comfortable interacting with high-level internal and external stakeholders. Familiarity with Activity Insight/Watermark, Promotion and Tenure Online Review Platform (PTORP), SIMBA and Qualtrics preferred.
