Job Description:

We are seeking a naturally curious, detailed oriented and highly collaborative professional to provide an impressive experience for our employees and visitors. As the first point of contact for Volvo Construction Equipment's campus, you will be a key contributor to the Brand, Marketing and Communications teams' success

**In This Position you will....**

Handle all front-line communications for the Shippensburg facility including receiving and directing calls and guests in an efficient and professional manner as well as coordinating all aspects of facility visits for internal and external visitors. In addition, you will support certain internal communications activities, purchasing process for marketing team as well as various projects for the Brand, Marketing Communications Team.

**Responsibilities:**

+ Greet and screen visitors entering the Shippensburg facility

+ Check visitors in and out of the iVisitor system, registering them when needed, and contacting host when necessary

+ Manage use of visitor parking spots

+ Compile and communicate daily site evacuation list

+ Maintain department distribution lists, site phone list, email distribution lists and Sales North America Who's Who document

+ Update cOMMon system with job descriptions from assigned departments as needed

+ Create and maintain marketing team Microsoft Sharepoint and Teams sites

**VIP / Facility Tours:**

+ Coordinate Internal and VIP Customer tours, Machine Operation visits and Virtual Sales Assistance calls

+ Schedule, recruit, and train VIP and internal tour guides

+ Schedule the various Volvo staff required for VIP customer tours including SMT members who are needed to support

+ Maintain plant tour equipment (Headphones, vests and safety shoes)

+ Accountable for the customer visits budget and VIP customer visit ROI reporting

**Marketing Team Support:**

+ Reconcile marketing team purchasing cards

+ Create, receive, and reconcile purchase orders in EBD system

+ Maintain advertising library

+ Handle various other tasks to support marketing team members (i.e.: proofreading, creating spreadsheets, documenting processes, paying invoices, trade show budget assistance etc.)

**Internal Communications:**

+ Maintain Shippensburg violin page and content

+ Create and update content for digital message boards

+ Build and distribute the weekly Shippensburg Newsflash

**Success Factors:**

+ Able to perform duties effectively in a fast paced environment whether working autonomously or under direction

+ Basic understanding of finance and accounting

+ Walking, standing, lifting, stooping also required

+ Able to respond and support business change

+ Microsoft Office365

+ Microsoft Teams and Sharepoint experience

+ Adobe programs: InDesign and Photoshop

+ Represent Volvo Values

+ Ability to work under pressure to achieve important deadlines and commitments

**Must Haves.....**

+ High School Diploma, Bachelor's Degree preferred

+ 1 year of experience in Customer Service or related position.

+ Must be proficient in MS Office and Outlook

+ Demonstrated exceptional interpersonal, verbal and written communications
